The key insight

The office chair is not a comfort preference. It is a health and productivity variable with a direct line to sick days, staff retention and cognitive output. The purchase decision deserves the same scrutiny as any other significant business investment.

What UK law actually requires

The Health and Safety (Display Screen Equipment) Regulations 1992, amended in 2002, place specific legal obligations on UK employers whose staff use display screen equipment as a significant part of their normal work. In practice, this covers the majority of office workers. The regulations require that:

  • Employers carry out a suitable and sufficient DSE workstation assessment for every DSE user.
  • Workstations meet the minimum requirements set out in the Schedule to the Regulations, which include specific seating requirements.
  • The chair must be adjustable in height and have an adjustable back rest that provides adequate support for the lumbar region.
  • A footrest must be provided if requested and if the workstation cannot otherwise accommodate the worker's posture.
  • These obligations extend to homeworkers who are DSE users, not just staff in the office.

The DSE assessment covers the full workstation, not just the chair. Screen height, keyboard position, desk height and lighting are all assessed alongside seating. A chair that meets the standard paired with a desk at the wrong height will still generate a failed assessment. The HSE's guidance makes clear that a fixed, non-adjustable chair is unlikely to meet the legal standard for a DSE user. Providing a chair with height adjustment and backrest adjustment is the minimum. For workers spending six or more hours a day at a workstation, the HSE recommends a more comprehensive range of adjustments.

Legal obligation

If you have staff who regularly use display screen equipment and you have not carried out DSE workstation assessments, you are in breach of health and safety law. The assessment must identify seating requirements for each user and actions must be taken to address any shortfalls. Providing an adequate chair is part of that duty, not optional.

A DSE assessment is not a one-off bureaucratic exercise. It should be repeated when a workstation changes, when a worker reports discomfort, or when a new member of staff joins. The six adjustments that separate ergonomic chairs from everything else

1. Seat Height

Allows feet to rest flat on the floor with knees at roughly 90 degrees. The baseline adjustment without which nothing else can be correct. Standard range is 40cm to 52cm; extended ranges available for taller and shorter users.

2. Lumbar Support (Height and Depth)

The lumbar support should sit in the inward curve of the lower back, not the mid-back or tailbone. Independent height and depth adjustment allows this to be set correctly for users of different heights and torso proportions. Fixed lumbar positions serve nobody particularly well.

3. Seat Depth

The most commonly overlooked adjustment. Correct seat depth leaves a gap of two to three finger-widths between the seat edge and the back of the knees. Too deep and you perch at the front, losing lumbar support. Too shallow and the backrest pushes you forward. Absent from most budget chairs and many mid-range ones.

4. Armrest Height (and Width)

Armrests should support the forearms lightly without raising the shoulders. Height-adjustable armrests allow this regardless of desk height. Width adjustment (4D armrests) adds the ability to bring the armrests close to the body, reducing shoulder strain. Armrests set too high are a common cause of neck and upper back discomfort.

A slight backward recline (100 to 110 degrees rather than a strict 90) reduces the compressive load on lumbar discs and is the posture most supported by the evidence for sustained desk work. 6. Backrest Height

A high backrest supports the full length of the spine including the thoracic (upper) back, which matters for users who recline during the day. Mid-back chairs suit users who prefer a more upright posture. The seat depth rule of thumb

Sit fully back in the chair. You should be able to slide two to three fingers between the back of your knee and the front edge of the seat. If you cannot, and you have to perch forward to avoid pressure behind your knees, the seat is too deep for your leg length. This is one of the most common mismatches in office seating and one of the most easily avoided with an adjustable seat depth.

The right chair type depends on how it will be used, not on job title or seniority. Buying executive chairs for everyone because they look the part, or operator chairs for a team that does sustained individual work, are both common and costly mistakes.

A note on 24-hour and heavy-duty chairs

For environments where chairs are used around the clock, control rooms, emergency services, 24-hour call centres, standard office chairs are not adequate. 24-hour rated chairs are built to withstand continuous use by multiple users and carry higher weight ratings, more robust mechanism specifications and longer warranties. If your environment operates in shifts, this is a non-negotiable specification requirement.

Mesh vs leather: what the evidence says

This is the question most commonly asked when buying office chairs, and it is slightly the wrong question. Material matters, but it matters less than adjustability. A well-adjusted mesh chair outperforms a poorly adjusted leather one. A well-adjusted leather chair outperforms a poorly adjusted mesh one. That said, for sustained desk work in a UK office environment, the evidence does lean in one direction.

The case for mesh

Mesh backrests allow air to circulate through the backrest material, preventing the heat and moisture build-up that occurs with foam-padded alternatives. This is not a minor comfort preference. The honest caveat on leather is bonded leather (also called PU leather or faux leather). It looks indistinguishable from genuine leather when new but typically begins to crack, peel and disintegrate within three to five years in regular use. If the chair is described as "leather faced," "bonded leather" or "PU leather," it is not genuine leather and should be priced and specified accordingly.

Choose mesh if: sustained desk work is the primary use, the office is warm, or full ergonomic adjustability is the priority.
Choose leather if: client-facing appearance matters, the environment is cooler, or upholstered comfort is a strong user preference.
In both cases: prioritise adjustability over material. A chair with four or more adjustments in either material will serve your team better than a beautiful chair with one lever.

Buying for a team: what changes at scale

Buying one chair for yourself is a different exercise from specifying chairs for a team. It's also worth noting that workstations are rarely the only seating need in an office: meeting rooms, reception areas and breakout spaces need their own specification. Visitor and reception chairs and executive chairs for meeting rooms are separate purchasing decisions from workstation seating, and mixing them up leads to chairs that serve neither purpose well. The adjustments that matter most when buying for a team are different from those that matter most for an individual, because you are trying to serve a range of body types, working styles and preferences with a single specification.

Standardise on adjustability, not on appearance

The temptation when buying for a team is to choose a chair that looks consistent and presentable, then order it for everyone. This works if the chair has sufficient adjustability to accommodate the range of users who will sit in it. It fails, expensively, if it does not. A chair that fits 60% of your team is not a 60% solution. The 40% who do not fit it will be uncomfortable every day.

The specification for a team purchase should require, at minimum: adjustable seat height, adjustable lumbar (height and depth if possible), adjustable armrests, and adjustable seat depth. These four adjustments allow the chair to be configured for the realistic range of body types in any mixed team.

Consider the height range

Standard office chairs adjust between approximately 40cm and 52cm seat height. This suits users of average height reasonably well. For teams with a wide height range, or where taller or shorter users are known, check the stated adjustment range explicitly. Some manufacturers offer tall or petite variants of standard models for an additional cost that is almost always less than the cost of a separate DSE-related purchase later.

Hot-desking changes the calculus

If your team hot-desks, sharing workstations on different days, the adjustment speed and intuitiveness of the chair matters as much as its range. A chair that takes two minutes and a manual to configure correctly will not be configured correctly. Every adjustment that requires tool use or disassembly should be treated as an adjustment that will not be made. Practical tip

Before placing a large team order, request a sample chair and have three or four people of different heights and builds try it. If the tallest and shortest members of your team cannot both configure it comfortably, it is not the right chair for your team regardless of its other qualities.

Durability, warranty and total cost of ownership

The office chair market contains a very wide range of apparent price points — and the same is true for office desks. Total cost of ownership applies to the full workstation, not just the seating. that can obscure a narrow range of actual value. A chair priced at £120 that needs replacing in two years has a higher annual cost than a chair priced at £280 that lasts ten. The factors that determine longevity are predictable, and worth specifying explicitly.

The gas lift mechanism

The gas lift is the component that fails first in the majority of budget office chairs. It is the hydraulic cylinder inside the central column that allows seat height adjustment. Cheap gas lifts begin to sink under load within 12 to 18 months of regular use. Once the lift fails, the chair cannot be set to the correct height, which means it fails its basic ergonomic function regardless of any other qualities. A quality gas lift from a recognised manufacturer (Class 4 or above by European standard) will last the life of the chair. A budget gas lift will not.

The castors

Castors are the second most common failure point. Hard floor castors and carpet castors are different products. Using carpet castors on hard floors causes them to skid and wear rapidly. Using hard floor castors on carpet causes excessive rolling that strains the mechanism. Confirm the floor type and specify accordingly. Castor replacement is usually possible and inexpensive, but only if the manufacturer's replacement parts are still available.

Upholstery

For operator chairs and hot-desking environments where multiple users share the same chair, upholstery grade matters significantly. Commercial-grade fabrics and genuine leather outlast domestic-grade alternatives by years. Bonded leather (PU) looks acceptable initially but typically cracks and peels within three to five years in commercial use. If you are specifying chairs that will be shared, specify fabric or genuine leather upholstery rather than bonded leather.

Warranty as a proxy for quality

Warranty terms are the most reliable proxy for a manufacturer's confidence in their product. A one-year warranty on mechanisms is the minimum, inadequate for a commercial chair in daily use. Look for a minimum of five years on the frame and mechanisms. Some commercial chairs carry warranties of ten years or more, which correlates strongly with the build quality that justifies the investment.
